How to create a Definition of Done?

The “Definition of Done” 📝 incorporates all of the characteristics and standards an Increment needs to meet to be released. The Definition of Done is the commitment by the Developers for the Increment.

According to the Scrum Guide the Definition of Done is a formal description of the state of the Increment when it satisfies the quality measures required for the product.

At times, the Definition of Done for an Increment includes the organisation’s standards. In such cases, all Scrum Teams must adhere to these standards at a minimum. They can elaborate on it with any other standards or characteristics that must be met for the product. If there are no specific organizational standards, the Scrum Team must create a “Definition of Done” suitable for the product.

The “Definition of Done” encourages transparency by providing everyone a shared understanding of the required standards of work that was required as part of the Increment. This can be as straightforward as the team collaborating and collectively documenting their decisions. 🎯

Initially, we will need a flip chart or a board, dry-erase markers and sticky notes. Alternatively, we can utilise tools use https://miro.com or https://www.canva.com/ to create something like that: 👇

We will draw three nested squares. On the top square, label it “FUTURE“, on the middle square label it “NEXT” and on the bottom square label it “NOW“.

Using brainstorming activities such as Brainwriting, each member of the Scrum Team will individually write down their ideas on sticky notes or cards. After all ideas are documented, the Scrum Team will collectively review which sticky notes or cards should be included in the “NOW” section. These ideas must be objective and ensure readiness for inclusion in the “DoD“.

Now, the Scrum Team will prioritise items in the “NEXT” and “FUTURE” sections based on their importance and impact. This approach will help the team focus on addressing the most critical items first.

In conclusion, the “Definition of Done” requires updating in each Retrospective meeting at the earliest opportunity. Additionally, the “DoD” can be updated to include items from the “NEXT” and “FUTURE” sections, whenever feasible.

Remember, the “Definition of Done” should be flexible enough to adapt to changes in project circumstances. Remain open to adjustments as necessary.
